Using the IRRI template for Google sites

Creating a site from scratch

Log in to your IRRI.ORG account
Go to sites.google.com
Click on the Create button on the left pane.
When asked to select a template, click on "Browse the gallery for more" and select "IRRI Template V2"
Skip "Select a theme"
Click on "More options" and make sure to input values into "Site categories" and "Site Description"

Site categories (recommended) - internal, external, project, service, unit
Site description - 100 words or less narative

Applying the template to an existing Google site

Log in to your IRRI.ORG account
Go to sites.google.com
On the top right corner, click More > Manage site
Under Themes, click Browse more themes on the top right corner
Select IRRI Template v2
Confirm the selection
Template will be applied to existing site.
There will be instances where some portions of the site will have to be manually edited.

CPS web requires that all site should include members of CPS as site owners in order to facilitate troubleshooting and configuration.

Updating RT landing page procedure

Log-in to Web 2 Joomla backend

Click on "Modules"

MODULE DISPLAYING RICE TODAY BANNER ON RT LANDING PAGE

Preparing the banner images

Banner images specs are as follows

Format: PNG
Dimensions: 720x330
Resolution: 72dpi
Name: article title, use "-" instead of spaces

Creating the slideshow

Click on the "Components" tab
Click on "Frontpage Slideshow" component
Set the category to "Rice Today"
Set the publishing state to "Published"
Select all and unpublish
Add new
Set the slideshow category to "Rice Today"
Select the source of slide content (click on K2 item)
Upload the prepped image file to replace the default file automatically selected by the component.
Save

Main Stories

Set position filter to "TModule 1"
Look for "Main stories" module
Delete all items under "Select specific items"
Use the "Add items" box to select new items
Save

Set position filter to "TModule 2"
Look for "Current Issue left side" module
Delete all items under "Select specific items"
Use the "Add items" box to select new items
Save

Feature stories appearing on the right column

Set position filter to "TModule 3"
Look for "Current Issue right" module
Delete all items under "Select specific items"
Use the "Add items" box to select new items
Save

FRONT PAGE MODULE DISPLAYING RICE TODAY COVER

Set position filter to "right"
Make sure you have the cover image ready for upload to server, the image file must have the following specs

Format: PNG
Dimensions: 430x556
Resolution: 72dpi
Name: rice-today_<volume#>_<issue#>_cover.png

Look for "Rice Today Magazine" module
Under "Custom Output", right-click once on the image
Select "Insert/Edit Image"
Click on "ricetoday" folder under "Folders"
Create a folder under images/ricetoday/ using the add folder icon
Name the folder <volume#>-<issue#> (e.g. 12-1)
Double-click on the folder you created
Upload the cover image using the upload file icon
Set Dimensions to 116 x 150, proportional
Alignment is set to "Middle"
Update
Make sure the link is not modified
Save the module

MODULE DISPLAYING RICE TODAY CURRENT ISSUE ON RT LANDING PAGE

Set position filter to "left"
Make sure you have the current issue cover image ready for upload to server, the image file must have the following specs

Format: PNG
Dimensions: 600x559
Resolution: 72dpi
Name: RT-Current.png

Look for "Current Issue" module
Under "Custom Output", right-click once on the image
Select "Insert/Edit Image"
We need to replace the file.
Upload the cover image using the upload file icon
Set Dimensions to 200 x 186, proportional
Alignment is set to "Middle"
Update
Right-click on the blue DOWNLOAD button.
Modify the Scribd link URL
Update
Save the module

Getting the Google site template

Finally, an easier way to get and apply the IRRI Google site template!

Here's how:
A. Creating a Google site using the IRRI template:
1. Log in to your IRRI.ORG account
2. Go to sites.google.com
3. Click Create site on the left pane
4. Click Browse the gallery for more
5. Select IRRI Template v1
6. Name your site
7. Edit and populate your site.

The IRRI Template v1 looks like this:

The banner and footer are quite problematic (I don't know why yet), so you'll need to upload the file and paste the code below for the footer:

Click Add file

B. Applying IRRI template to an existing Google site:
1. Log in to your IRRI.ORG account
2. Go to sites.google.com and open your existing Google site
3. On the top right corner, click More > Manage site
4. Under Themes, click Browse more themes on the top right corner
5. Select IRRI Template v1

You no longer need to manually edit the Colors and Fonts of your existing Google site.

NOTE: Google sites do not automatically apply future changes made to the template (IRRI Template v1). Hence, you have to re-apply the template so you'll get an updated version.

Assembly models

What are Assembly Models?

Creating assembly models is an integral part of content modeling; they will assist us in putting together a list of “objects” needed to assemble a content unit (i.e., a web page) on the IRRI.ORG web site. In our case, web pages are dynamically generated and will be composed of multiple objects which can either be inline or contextual .

Importance of Assembly Models

These models give both content creators and designers/developers a clear guide on both requirement (functionality) and implementation. Here are some things to consider when thinking about the assembly model:

How structured does the content unit need to be? Do we need to capture specific, uniquely identifiable data that can be used to sort or filter the content (for example, date, theme, or author)?
How flexible does the content unit need to be? Can we predict what the elements of a page will be, how many and in what order? Or do we need to support an open structure with the ability to add varying numbers of various content elements to any part of the page?
How reusable does the content need to be? Can we make the reusable parts separate so that they can be shared across different pages of the site?
How tolerant are your content creators of laborious processes? If we ask them to take a lot of unstructured content and break it into dozens of distinct data fields, are they going to have the time to do it, because this can be very time-consuming.
These will be useful in determining which contextual contents and in determining which portions of the site pass data to each other.

Don’t worry too much about getting precise answers to these questions at this initial stage. This information will help guide decisions in the subsequent steps. So even if we can’t get consensus on the answers, just having the questions will help shape our thinking and discussions for the rest of the task.

Typography

There are three typefaces used on the web: Open Sans, Trebuchet, and Arial. All are available on Google web fonts.

Open Sans is the primary (default) typeface used for content text, content title text, widget or gadget texts and title texts.
Trebuchet is the secondary typeface for content title text, and headings. Trebuchet is recommended for texts of larger size (16pt - 32pt).
Arial is used when text needs to be small (8pt-12pt) and should not take up too much space, but have to look neat and be readable enough (e.g. photo captions).

When Open Sans and Trebuchet are not available, Arial can be used.
